ClientFlow is an invoicing app run by GeniusNet AI Technologies (RC 8931159), in Nigeria. This policy says what ClientFlow keeps about you and your customers, why, who else handles it, and what you can do about it.
Who is responsible for what
Your account is ours to look after: your name, email address, password and business details. GeniusNet AI Technologies is the data controller for it.
Your customers' details are yours. The customers, invoices and payments you add are information about other people and businesses. You decide what goes into ClientFlow, and you need a lawful reason to keep it, just as you would in a spreadsheet or on paper. ClientFlow stores and processes it for you, on your instructions.
What ClientFlow keeps, and why
Your name, email address and password
To let you sign in and to contact you about your account. Nobody can read your password, including us.
If you continue with Google
Google tells ClientFlow your name and email address, and ClientFlow keeps only those. It does not keep your Google picture, and it does not ask Google for anything else.
Where you heard of ClientFlow
When you arrive, ClientFlow notes where from: the campaign a link names, such as one in an Instagram post, or otherwise the app you opened the link in or the site that linked to us. Only that name is kept, in a cookie for 30 days, and with your account if you create one. It identifies nothing about you, and it is not shared with anyone.
Visits to ClientFlow's pages
When you visit without signing in, the visit is counted with where you came from, the kind of device and the page you landed on. Nothing that identifies you is kept: not your address, your device's details or the page you came from. A cookie that lasts 30 minutes stops one visit being counted twice. When a link to ClientFlow is pasted into a chat app, the app's preview is counted, with nothing about who pasted it.
Your business details
Name, address, phone, tax number, logo, currency and payment instructions, to print on your invoices.
Your customers
Names, companies, email addresses, phone numbers, addresses and your private notes, to address invoices and keep track of who owes what.
Invoices and payments
The invoices you make and the payments you record against them. Payment records are financial information about your customers.
How you heard about ClientFlow
If we cannot tell where you came from, we may ask once, after your first invoice. Your answer, or that you chose not to say, is kept with your account.
Which version of ClientFlow you use
Whether you use the Google Play app, ClientFlow added to your home screen, or a browser, and when you last did. No details of your device are kept.
Sign ins and changes
Which devices are signed in, and a history of what happened to each invoice, to keep your account secure and show you an invoice's history.
ClientFlow does not sell any of it, and does not use it for advertising.
Testing ClientFlow and sending feedback
If you apply to test
Your name, the Google account email address you give, what describes you and what you use for invoices now. We use them to decide who joins the test of the Android app and to email you about it. If you join, we add your address to Google Play's list of testers, and Google handles it as part of running the test.
If you send feedback
What you write, which part of ClientFlow it is about, and whether you were on Android, an iPhone or a computer. Signed in, it is linked to your account. Signed out, it keeps the email address you give, if you give one, so we can reply.
The assistant
ClientFlow has an optional assistant that can find, create and change things for you. If you never open it, nothing is sent to it. When you use it:
- What is sent: your messages, and the customer, invoice and payment details it needs to answer you. It is never sent anything from another account.
- Who handles it: your request goes to OpenRouter, Inc. (OpenRouter), which passes it to Crusoe Technologies LLC (Crusoe), which runs the gpt-oss-120b model in the United States.
- What they keep: nothing. Neither company may keep your information or train a model on it.
- Nothing changes without you. The assistant proposes each change on a card, and nothing is saved until you tap to confirm it.
- How long ClientFlow keeps your conversations: 90 days after you last used them, and the record of what the assistant did for 1 year.
Who else handles your information
These companies process information for ClientFlow, only to provide the service:
Vercel
Runs the app, and stores your logo and invoice files.
Neon
Hosts the database.
Resend
Sends email: sign in and account messages, and the invoices you choose to email.
Upstash
Helps keep accounts secure.
Signs you in, only if you choose to continue with Google.
OpenRouter and the model provider
The assistant, only when you use it, as described above.
Information leaving Nigeria
Some of these companies process information outside Nigeria, including in the United States. For the assistant, this rests on OpenRouter's data processing agreement, and on the condition that nothing is kept, collected or used for training. ClientFlow does not promise that your information stays in any particular country.
Cookies
ClientFlow uses cookies only to keep you signed in. It uses no advertising or tracking cookies.
Keeping it safe
Your information is protected, and only you can see your customers and invoices. If a breach ever puts your information at risk, we will tell you and the Nigeria Data Protection Commission as the law requires.
How long it is kept
Your information is kept while your account is open. When you close your account it closes at once and is deleted for good 30 days later. Until then you can keep it with a link we email you. Deleting removes your business, customers, invoices, payments, stored files and the assistant's history. It does not remove copies your customers already hold, the records our email provider keeps of sending, our backups until they expire, or our own record that the account was deleted and of any time an operator opened it to give support. An application to test, and feedback, are kept for 12 months, and we delete either sooner if you ask. The assistant's history is kept as described above while the account is open. How to delete is on Delete your account.
Your rights
- Get a copy: download everything in your account from Settings, Data, as one file, your assistant conversations included.
- Correct it: change anything in your account at any time.
- Delete it: close your account from Settings, Data. You are signed out on every device at once, and it is deleted after 30 days.
- Object or complain: write to us first, and you can also complain to the Nigeria Data Protection Commission.
Age
ClientFlow is for people aged 18 and over.
Changes to this policy
When this policy changes, the date at the top changes too, and a change that matters to you is announced in the app or by email before it applies. A change to who runs the assistant always changes this policy.
